Belief Dynamics Ltd (company number 15711256) is the data controller for the personal information described in this policy. We are a hypnotherapy practice based at 82c High Street, Harpenden, Hertfordshire, AL5 2SP. The information we collect

Depending on how you interact with us, we may collect the following.

Enquiry and booking details

When you contact us, book a consultation, programme or workshop, or make a payment, we collect your name, email address, phone number and the details of your enquiry or booking.

Health information given in sessions

To work safely and effectively, we may record relevant information about your physical and mental health, wellbeing, history and goals. Under UK GDPR this is special category data, and we treat it with extra care. We collect it only with your explicit consent and use it solely to provide your therapy.

Website analytics

When you visit our website we may collect limited, mostly anonymous information such as the pages you view and the type of device you use, to help us understand how the site is performing.

Shop and member accounts

If you buy a guided audio or use the client member area, we collect the information needed to fulfil your order and give you access to your resources, including your account and purchase details.

Our lawful bases for using your data

We only process your personal information where the law allows. The main bases we rely on are:

  • Consent, for example when you ask us to contact you, or when you share health information for your therapy.
  • Contract, to deliver the sessions, programmes, workshops or products you have booked or bought.
  • Legal obligation, such as keeping financial records for the period required by law.
  • Legitimate interests, such as running and improving our practice, where this does not override your rights.

For special category health data, we rely on your explicit consent and on the basis that processing is necessary for the provision of health treatment by, or under the responsibility of, a professional bound by a duty of confidentiality.

How we use your information

We use your information to respond to your enquiries, arrange and deliver your sessions, programmes and workshops, take payment, send you the resources and recordings you are entitled to, keep accurate and safe therapy records, meet our legal and professional obligations, and, where you have agreed, send you occasional updates such as our newsletter. You can withdraw consent for marketing at any time.

Sharing with third parties

We never sell your data. We share it only with trusted service providers who help us run the practice, and only as far as needed.

  • GoHighLevel, our customer relationship, booking, payment and content delivery platform.
  • Our website hosting and email providers, who store and transmit data on our behalf.
  • Professional or legal advisers, and authorities, where we are legally required to do so.

All our providers are required to keep your information secure and to use it only for the purposes we specify.

Client confidentiality

What you share in your sessions stays private. As a registered practitioner, Melissa is bound by a strict professional duty of confidentiality. We would only ever break confidentiality in the rare circumstances where the law requires it, or where there is a serious risk to the safety of you or another person, and wherever possible we would discuss this with you first.

How long we keep your data

We keep your information only for as long as we need it. Therapy records are retained in line with professional guidance for our insurance and registering bodies. Financial records are kept for the period required by tax law. Marketing data is kept until you ask us to stop. After that, we securely delete or anonymise your information.

Keeping your data secure

We take appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access, including secure platforms, access controls and careful handling of all records.

Your rights

Under UK GDPR you have the right to:

  • Be informed about how your data is used (this policy).
  • Access a copy of the information we hold about you.
  • Have inaccurate information corrected.
  • Ask us to erase your data, or restrict or object to how we use it, in certain circumstances.
  • Ask for your data to be transferred to another provider where this applies.
  • Withdraw your consent at any time, without affecting earlier processing.
